Ask a facilities manager why they changed security providers and you will rarely hear "the guards were bad". You hear "we never really knew what we were getting". Guarding is an invisible service — when nothing happens, the client sees nothing at all, and nothing is very hard to justify at renewal.
The renewal problem
Your contract gets reviewed by somebody under cost pressure. In front of them: your invoice, and a cheaper quote. If that invoice is the only artefact you have produced all year, then price is the only axis left to compete on.
Three reports that change the conversation
1. Coverage
Posts required versus posts filled, by day. If you hit 98%, say so with data. If you dipped, show it before the client finds it — along with what you did about it. Volunteering a gap builds more trust than hiding one.
2. Patrols completed
Rounds expected versus completed per site, with timestamps. This is the most persuasive document in guarding, because it converts an invisible service into something countable.
3. Incidents and response
Not just what happened, but how quickly it was escalated and what changed afterwards. A client who sees three near-misses handled well feels safer than one who hears nothing at all.
Send it monthly, unprompted
The habit matters more than the format. A short monthly pack — coverage, patrols, incidents, one recommendation — does three things: it justifies the invoice, it surfaces problems while they are still small, and it makes you the incumbent who is visibly working rather than the vendor who is merely present.
Use the same data in the pitch
When you tender, do not promise diligence — evidence it. Showing a real (anonymised) coverage report and patrol log from an existing site beats every adjective in a capability statement.
The uncomfortable part
Reporting only helps if the underlying delivery is real. If your coverage is genuinely 80%, better reporting will expose that faster. That is the point — you would rather find out before the client does, while you can still fix it.
