Compliance failures in guarding are rarely dramatic. They are an expired certificate, a guard deployed before vetting cleared, or a statutory deduction quietly using last year’s rate. Each is small. Together they are how firms lose licences and tenders.
1. Company licensing
- Operating licence current, with the renewal date diarised — not remembered.
- Registration details matching what appears on your tenders and invoices.
- Insurance in force and adequate for the sites you actually hold.
2. Guard vetting and certification
For every guard you should be able to produce, in seconds:
- National ID and verified personal details
- Certificate of good conduct and its issue date
- Training records for the role deployed
- Medical fitness certificate and expiry
The critical control here is expiry tracking. A certificate that expired last month is the same as no certificate at all, and "we did not notice" is not a defence when a client audits you.
3. Deployment records
You must be able to show who was at which post, and when. It matters for licensing, for insurance claims, and for any incident that becomes a legal matter. Rosters plus verified attendance give you that. A WhatsApp group does not.
4. Employment and payroll
- Written contracts for every guard
- Pay at or above the statutory minimum for the role and area
- Correct PAYE, NSSF, SHIF and Housing Levy — see the payroll breakdown
- Payslips issued and accessible to the guard
- Leave tracked and actually honoured
5. Record retention
Incidents, attendance, patrol logs and payroll records need to survive staff turnover and laptop failures. If your compliance evidence lives in one person’s spreadsheet, you do not have compliance evidence — you have a single point of failure.
Turn the checklist into a system
Checklists decay because they depend on somebody remembering. Make expiry dates a field in your system, put a 60-day warning on them, and review one exceptions dashboard weekly. Compliance then becomes a short routine instead of an annual panic.
